Single Student Freshman and Transfer Housing Policy

  • Due to recent circumstances impacting housing availability, temporary measures have been taken to increase student’s ability to access single student housing. The following policy has been updated accordingly and is subject to change.

    Single students who are admitted as freshmen or ‘first-year' students are required to live on campus for their first semester and sequentially the remainder of the academic year in ‘first-year' style housing.

    Implementation:

    ‘First-year' students: Entering freshmen who have completed college or university credits before graduating from high school are considered ‘first-year' students and are required to live on campus for their first semester and sequentially the remainder of the academic year in first-year style housing.

  • If you are a single student admitted with credits completed after high school graduation at a different school, you are considered a transfer student. If you have attended BYUH before, left for two or more semesters, and had to re-apply to BYUH you are a returning student. Students on LOA or internship ARE NOT considered returning students.

    Transfer Students: Students admitted with college or university credits completed after high school graduation are considered transfer students and are not required to live in on-campus housing.

    Returning Students: Students that have attended BYUH before, then left for one or more semesters, are returning students and are not required to live in on-campus housing.

    Students over the age of 25 are not required to live in on-campus housing.

    Married students or students with dependents are not required to live in on-campus housing

The residence hall facilities, also known as Hale

(pronounced hah lay)
, are designed to maximize social interaction between students in an environment that is conducive to high academic achievement.

Room and board services are provided in 10 residence halls. Separate halls are designated for men and women. Each residence hall is designed as a two or three-story structure built in a rectangular format with an inner courtyard.

The residence halls are a center for campus activities with lounges provided for students to watch their favorite television shows, do classwork on a computer, study for an exam, play the piano, or just talk.

Fall residents who renew their contract or book a room for the winter semester are required to book the winter break also and pay any associated fees. There are no exceptions. The Residential Life department does not offer a check out option for continuing residents. Residents who have a winter booking may reside and/or leave their belongings in their room during this break. Residents who do not reside in the room or who check out of the room but are returning for the next semester are responsible for the winter break fee.

Amenities

There are two main types of residence halls: dorm-style or apartment-style. The majority of rooms are double occupancy (shared rooms). Limited private rooms are available.

Dorm-style

hales are halls with no kitchen access and are required to purchase a meal plan. Freshmen are typically assigned to dorm-style housing.

Apartment-style

hales are halls with a kitchen located within each apartment, shared with 3-7 other residents.

Furnishings

All rooms are furnished with draperies, single beds, desks, chairs, closets, wastebaskets, and sets of drawers.
Apartment-style hales also include a fridge, stove, and dining room set.

Bathroom Facilities

Bathroom facilities are designed for single boarding students with a busy college schedule, and individuals in adjoining rooms share central bathroom facilities. There are no private-only bathroom facilities.

Wifi

Wifi internet access is provided in each hale.

Laundry

Card operated laundry facilities are located within each hale and are shared with all of the building's residents. A debit or credit card is required to operate machines. As of January 2020, the cost per load is 75 cents.

Heating/Cooling System

There are no ceiling fans or air-conditioning in the hales. Students may wish to bring a small electric fan, or purchase one on arrival, to aid ventilation.

Check-in

Check-in Week

Students with a contract may check in any day during the check-in period (see below). Students will not be permitted to check in earlier or later than the check-in period. Students may make travel arrangements to arrive during the check-in period as soon as they sign a contract. Refer to the Housing Calendar for check-in week dates.

Reserving a check-in appointment

All students must check in during hale office hours: Monday-Friday, 10 am-6 pm. After being assigned a room, students must book a check-in appointment. The number of check-ins allowed per hour will be limited. If your desired check-in time is booked, please select the next available time slot.

Limited 'after-hours' check-ins may be available for international students with limited flight availability.

Family or friends dropping you off?

Families and friends traveling with their students are permitted to help their students check in. If you will have help at check-in, please make sure to indicate how many will be arriving when booking your check-in appointment.

Before Arriving

  • Please contact us at offcampushousing@byuh.edu for a copy of the Handbook.
  • Homes are typically much smaller in Hawaii, so please be aware that your room on-campus and off-campus can only reasonably accommodate about two suitcases worth of personal items during your stay here at BYU–Hawaii.

    ***Packages CANNOT be mailed before you arrive on-campus. Please do not send anything before you arrive.***

    Our Handbook provides a suggested packing list of items to bring or purchase. Please refer to BYU–Hawaii’s Dress and Grooming Standards when selecting clothing to bring.
  • You must schedule a check-in before you arrive on-campus. When you receive your assignment, you will be sent an invitation to book a check-in. There will be limited spaces in each time slot, so book as soon as you can!

    Students may not check-in before the first day of the check-in period. The Hale offices will be open from 9 am until 6 pm. The last day to check in is the day before the first day of school.
  • If you are checking in after 6 pm, you can book an After Hours Check-In.
  • Freshmen are required to attend New Student Experience (Orientation). If you are not a freshman and you are planning to check in after the first day, please contact our office at housing@byuh.edu to request a late check-in date.
  • Students are responsible for finding their own ride to campus.

    If you do not have a ride yet, a shuttle for BYU–Hawaii students, faculty, staff, and families is provided by our partner North Shore Express. The rate is $55 per person for BYU–Hawaii students, faculty, staff, and families 24 hours a day, seven days a week. You must make a reservation online at their website, northshoreexpress.net, or by calling them at (808) 892-1614.

Check-In

When you arrive on campus, you will see signs directing you to the hales. To check in, please proceed directly to the hale you have reserved a room in.
  • If you are lost, the Aloha Center Information Desk has volunteers ready to answer any questions.

  • Students may not check in before the first day of the check-in period. The Hale offices will be open from 9 am until 6 pm. The last day to check in is the day before the first day of school.
  • It may take up to one hour or more to check in depending on the time you arrive.

    You will attend a short orientation and meet your RA’s.

    You will receive your temporary room key that is good for one week. When you receive your student ID card, please visit your hale office during open hours to encode your key.

    A R.A. will take you to your room, where you will take inventory of your room and complete an inventory check-in list. Please ensure you make an accurate accounting of your room including any damage. This same check-in form will be used when you check out, any damage to the room, unit or bathrooms will be your responsibility at check out if it is not indicated on the form. You will have 1 week after you check in to report any damage that you missed upon check-in.
  • Whether you live in Hawaii or are arriving here for the first time, our New Student Experience (NSE) program is going to help you have fun and is a helpful introduction to BYU–Hawaii. NSE takes place both the week before and the first week of school. We have a variety of events planned that will help you get a feel for life in Hawaii, make new friends, and get academically prepared for your upcoming classes.

  • You can find your ward information on our Wards & Stakes page.
  • As a new-incoming student, your room is only booked by the Residential Life office for your first semester. You are responsible to reserve your housing for any further semesters. During the first month of school, you will have the opportunity to renew your contract for the next semester and reserve the spot you want to live in. Freshmen are required to live on-campus for three semesters. More information on Renew Contract Week will be provided once you arrive on campus.
  • Renew Contract


    Every semester, work-study students who are required to stay in on-campus housing for the following semester must renew their contract during Renew Contract Month.

    In fall and winter, other students who are attending school for the following semester will have the opportunity to renew their contract during Renew Contract Month.

    Students allowed to move off-campus (see policy), getting married, graduating, going on an internship, mission or a Leave of Absence for the following semester should not renew.

    How do I renew?


    To renew your contract: 
    1. Log in to the Housing Portal.
    2. Select 'Secure Housing.'
    3. Select 'Hales.'
    4. Select 'Renew Contract.'
    5. Complete process. Don’t forget to sign the contract at the end!
    You will receive email confirmation once you have successfully renewed your contract. You can always check your reservations on the Housing Portal homepage or under ‘Manage Housing’.

  • Transferring at the End of the Semester


    If you renew your contract, you will have opportunities to transfer to eligible rooms. Options will be limited based on availability.
    Students who renew their contract can change their room during ‘Open Room Selection’. The renew contract confirmation email will have the open date. You must renew your contract before you can choose a new room.

    Room Type Eligibility


    Residents required to live in dorm-style rooms may transfer to other dorm-style rooms. All other residents will be able to choose between apartment-style and dorm-style housing.
    Residents who meet the requirements to live in Hale 10 are eligible to select a room in Hale 10 for the upcoming semester.
    Because housing is so limited, your ideal room and room type may not be available.

    • Dorm-style: first-year students (See Policy)

    Conditions for Transfer:

     
    • You must be present on transfer day. No exceptions will be made for transfers outside of the transfer day 
    • Check-outs will need to be in the morning, check-ins in the afternoons. Please be aware that there will be a period of time between your check-out and check-in when you will not have a bed space.
    • Please understand that once you select a new room, your current bed space will be available for other students to reserve.
    • Rooms will be available as is. The turnover period is short so rooms may not be up to cleaning standards.
    • Consequences for improper transfer: Items will be subject to confiscation by RAs and an improper check-out fee will be charged to your account.

    Mid-semester room changes


    Students interested in changing their room may select a new room and transfer time on the Housing Portal, under 'Manage Housing'. Options will be limited based on availability.
    Students wanting to swap rooms with another student must visit Residential Life with the person they would like to swap with.
  • Benefits of On-Campus Club Dining:
    Eating at BYUH's Club Dining is a great opportunity to meet new friends over a delicious meal. With a Meal Plan you don't have to worry about buying groceries or washing dishes. It is a great way to get more meals for less money. Students may choose between a Gold, Silver or Block meal plan to suit their needs.

    Requirements:
    Freshmen are assigned to dormitory-style housing and will not have access to a kitchen. Students living in dormitory-style housing are required to have either a Gold or Silver meal plan.

    You will be able to choose a Meal Plan upon booking your room. Any changes or questions concerning Meal Plans should be addressed to Food Services.

Hale Check out Process

If you currently live in the hales and will not need on-campus housing for the following semester, you will need to fill out a check-out notification.

  1. Log in to the Housing Portal.
  2. Select 'Manage Housing'.
  3. Scroll to the bottom and click 'Check-out Notification'.
  4. Fill out the form completely.
  5. Complete the process by clicking ‘Submit’.

Leaving on an Internship?

If you are leaving on an internship and plan to return to campus. You will need to apply to the Single On-campus Housing Waitlist.

Contract Cancellation Process

If you have secured a contract in a hale but now need to cancel the contract, you will need to submit a cancellation request on the housing portal. Winter break, spring break, and summer break are connected to a semester and if you cancel one, the connecting semester will also be canceled.

If you are considering canceling your contract, please read through the terms of your housing contract for all terms and conditions.

How to submit a cancellation request:

  1. Log in to the Housing Portal.
  2. Select “Manage Housing”
  3. Scroll to the bottom and click “Submit Termination for ...”.
  4. Fill out the form completely.
  5. Complete the process by clicking ‘Submit’.

Residents are subject to improper check-out fees if check-out processes outlined in the Hale Handbook are not followed.

Secondary Housing

  • Residential Life has arranged for a limited amount of secondary spaces in our hales for students unable to secure a standard bed space. Secondary housing contracts will be offered after all available standard spaces have been booked.

    Students will be assigned to a space in secondary housing for the start of the semester. As soon as a standard residential space becomes available, a standard assignment will be made.

    The secondary room rate will be comparable to an on-campus space. However, once the student receives a standard assignment, the rate will be adjusted accordingly.
  • Secondary rooms are located throughout the hales. Depending on the number of students needing secondary housing, students in secondary housing will be placed in a room with five to 10 other residents.

    These rooms have three to four bunk beds each. There is very limited storage in secondary rooms and students are expected to live out of their suitcases.

    All students will have access to a bathroom facility. Because secondary housing does not have access to a kitchen, a Silver or Gold Meal Plan is required.
  • Students in secondary rooms are given standard rooms following housing cancellations. Rooms become available at varying times. Students may be assigned a standard bed space before arrival or may stay in the secondary room until the next semester. Students assigned to secondary spaces will be eligible to book a standard room for the next semester.

    Conditions for Secondary Housing:


    • The secondary room rate will be comparable to an on-campus space. However, once the student receives a standard assignment, the rate will be adjusted accordingly.
    • Students in secondary housing will be required to move to standard spaces if vacancies exist in the Hales.
    • Students in secondary housing will be required to purchase a Silver or Gold Meal Plan.

Spring and Summer Consolidation

The spring and summer have much fewer students living in the hales. To accommodate summer programs, maintenance, and repairs: major room reassignments are required.

  • In order to uphold the quality and condition of the Hales, regular maintenance and repairs are necessary. Certain hales may be closed during the spring and summer periods in order to allow for these renovations to take place.

    The University often hosts summer programs that require on-campus housing. To increase efficiency and organization. Students may be consolidated to certain hales or floors to accommodate these visitors.
  • Consolidation is determined by the number of residents who renew their contracts. If demand for more space is given, the Residential Life and Housing Operations departments may determine a need to leave one or more of the closing Hales open. It is very important for residents to renew their contract if they are considering living on-campus for the spring semester and/or summer break.
  • Students will be notified once the Residential Life and Housing Operations departments determine which hales need to be closed for maintenance and repair. If you happen to live in one of these hales, you will have the opportunity to renew your contract and then change your room during Change Room Week.

    It is very important that you first renew your contract!
  • Freshman residents who are residing in Hales that are closing will be able to change their rooms to either dorm-style or apartment-style, even if they are still freshmen!

    Apartment style Hales will give you access to a kitchen which means you will not be required to purchase a meal plan.

    If your Hale is closing, you will be able to move to apartment style Hales as long as there are spaces available. Change room is done on a first-come, first-serve basis.

    Please note that Hale 10 is only available for women with 55+ credits.

  • The $50 non-refundable application is the fee that we require to be able to process your application to live in our on-campus housing. This fee is required at the beginning of each academic year or the first time you apply to live on campus. Meaning that it will be required before the fall semester of every year unless you renew your contract for the current bed space that you are living in.
  • A few private rooms are available. There is an additional cost for these rooms. Please contact the Residential Life office for more information on private rooms.
  • We do not provide early check-ins or late check-outs. Please contact the Residential Life office for more information on early check-ins and check-outs.
  • Students can live off campus with an immediate family member. Family members include mother, father, maternal or paternal aunts or uncles, or maternal or paternal grandparents. Family exemptions are for students who live in the Laie or the surrounding community. Students are given a letter that they must fill out and return to us either through email or bringing it into the office. After submitting it to housing, the off-campus department will approve or deny your request. Other circumstances that might require a student to live off-campus in non-approved student housing would need to be appealed through the housing portal by hitting "Submit an Appeal".
  • When putting in a roommate preference make sure that you and the roommate you want to live with put each other's name or your request will not be considered. However, there are no guarantees that incoming freshman will be assigned a room with the person they requested but the Hale Coordinators will consider it as they assign rooms and roommates.
  • Apartment-style hales, or hales that have a kitchen in it, are reserved for upperclassmen that have reached a certain amount of credits required to live in these hales.
  • If you need help while living in the Hales, the Resident Adviser or the Hale Coordinators will be able to assist you. The Resident Advisers have an office inside the Hale and their office hours and number are posted outside the door. If it is an emergency you can call the on-call phone.

  • No pets are allowed to be kept on the BYUH campus.
  • A Resident Adviser is someone whose job is to help you and assist you during your time in the Hales. They are experienced university students that can help you get adjusted to university life. They are also there to help you spiritually, physically, and mentally. There are 4-6 Resident Advisers in each of the Hales.
  • As a freshman, you are required to be on campus. You will need to speak with your landlord in order to cancel your off-campus contract. If you do not move on campus, you will be reported to the university for not obeying university policy. Only freshman living with immediate family members are permitted to live off-campus.
  • If you are admitted as a freshman, you are ineligible to live off-campus until you have lived on-campus for three consecutive semesters. If you have transfer credits, your eligibility is based on the number of credits transferred. You need to have transferred with a minimum of 24 post-high school credits to be eligible to live off-campus. You may consult with the Residential Life office to confirm whether or not you can live off-campus.
  • You are more than welcome to have a car here on the BYUH campus. You can park almost anywhere on campus as long as you have a parking pass. Visit the Security office, located at the back of the McKay Building, to pay for your parking pass.

Meal Plans

Freshmen are assigned to dormitory-style housing and will not have access to a kitchen. Students living in dormitory-style housing are required to have either a Gold or Silver meal plan.

Payment

The semester's rent sum is placed on student accounts within two weeks of check-in. The due date is determined by the Financial Services office. If you fail to make a payment by the due date on your student account, the university may take action, outlined on the 'Student Delinquent Account Information' page.
